Operations / Enterprise Administrator – F2 Centre – Dublin

Title: Operation & Enterprise Administrator

Status: Full-time – 35 hours

Purpose: The purpose of this role is to provide administrative and operational support to the F2 Centre operations team. To promote the Centre and its activities and to manage the letting and ongoing maintenance of the twelve apartments managed by F2.

The person will be the first point of contact for occasional lettings and bookings relating to spaces managed by F2 and will provide IT & information support in relation to marketing and communications materials and the maintenance of social medial sites.

Duties of the Post

F2 Centre

To convene and take minutes of meetings of the F2 Board and Sub-Committees, to ensure that rooms are booked and set up for meetings and that minutes and relevant paperwork is circulated in a timely manner;
To be the main point of contact for all enquiries and bookings of facilities managed by F2, including occasional lettings and conferences and events and to ensure that all insurance requirements are met.
To liaise with all operations staff in relation to the set up for conferencing events and be available to supervise the set-up of same
To ensure that rooms and facilities are set up according to end user requirements, including seating, tables and any audio-visual equipment and to coordinate the external hiring and return of equipment if required.
To ensure that all equipment supplied by F2 is in good working order;
To ensure that a high quality and professional standard is maintained at all times in relation to lettings, conferences and events and to undertake follow up evaluations with end users to obtain their feedback;
To set up and regularly update the internal bookings calendar and ensure that it is available to all who require access to it;
To provide the information to issue invoicing in relation to bookings of the F2 Centre.
To maintain and update the F2 Centre website and associated social media, communications and publicity and to document events within the F2 Centre as appropriate in relation to this;
To manage the telephone call logging software, including generating and issuing internal invoices for resident projects and associated follow-up work;

Apartments

To coordinate and manage all aspects of the advertisement, interviewing and processing of tenants for the twelve apartments including signing of letting agreements, setting up of rent payments and transfer of utilities;
To be the main point of contact for all tenants;
To regularly inspect the condition of apartments and to coordinate the annual servicing of gas boilers;
To coordinate the implementation of all repairs and maintenance work;

Enterprise

To be the main point of contact for tenants in relation to queries of a general nature;
To inspect the condition of units annually;
To coordinate the implementation of repairs and maintenance work to the external fabric for which F2 is responsible;

F2 Cafe

To produce marketing materials as requested by the F2 Café Manager;
To liaise with the café manager and coordinate the provision of services for conferencing events.
To provide advice and support for advertising campaigns.
To provide advice and support for the maintenance of social media sites.

Note: This job description may change and the operations and enterprise administrator will be required to perform such additional duties as the F2 Centre and Enterprise Management Board may from time to time determine.
