Administrative Assistant – Business in the Community Ireland

JOB DESCRIPTION
Primary Responsibilities:
Overseeing the effective administration of the Schools’ Business Partnership
Providing administrative support to SBP Programme Manager as appropriate
Providing administrative support to the regional coordinators
Responsible for the design, content and distribution of the SBP ezine
Oversee the annual programme evaluation process
Set up survey monkey surveys
Download responses
Draft and produce final evaluation reports in conjunction with Programme Coordinators
Leading and managing the updating of BITC STARS (MS Dynamics) CRM system
Provide technical support for regional coordinators
Verifying volunteer applications for education programmes
Entering data on the Garda Vetting portal
Responsible for updating SBP section of BITC website
Creating content for Social Media
Growing and maintaining SBP’s twitter followers
Maintaining the SBP’s facebook page
Overseeing & championing the collation of all SBP social media including, videos and photos.
Create digital & print marketing materials for all education programmes using graphic design software such as Canva & Picktochart
Event administration
Distribute invitations
Maintaining attendees list
Venue organisation
Manage all aspects of SBP’s internal meetings
Notification, reminder notices for all SBP meetings on an annual basis.
Preparation and updating of main presentations and promotional material
Research prospective companies as well as best practice on mentoring, as requested.
Maintain efficient filing system for the Schools’ Business Partnership
General BITC office duties – responsibility for general administration cover as appropriate.

PERSON SPECIFICATION
Experience
Three or more years’ experience in a similar role
Knowledge of the Irish educational system
Skills/ Personal Attributes

A high level of proficiency in the range of Microsoft Office programmes e.g. Word, Excel, PowerPoint, Outlook
Strong proficiency in the use of social media – Twitter and Facebook
Proficient knowledge in IT and database applications such as Microsoft Dynamics CRM
Strong organisational and time management skills;
Excellent Interpersonal Skills
Good telephone manner
Excellent attention to detail
Flexibility and the ability to manage a varied workload
Fluency in English, both written and verbal is required
Good writing skills

Preferred Knowledge and Skills:
Ezine design and editing;
Knowledge of Canva & Picktochart
Knowledge of Irish Business and Education sectors.
