Administrator (CE Scheme) – Youth Work Ireland Galway

Youth Work Ireland Galway Regional Office, 41/43 Prospect Hill, is recruiting a Community Employment Administrator. This is a Community Employment part-time vacancy 19.5 hours per week. Various work hours’ configurations are acceptable on the agreement between the employee and the employer.

The applicant must be in receipt of the Jobs Seekers Benefit, Job Seekers Allowance or other eligible Social Welfare support to qualify for the Community Employment position. Please check your eligibility with your DSP case officer.

It is essential that the applicant has either completed a FAS accounts and payroll training or similar or, alternatively, has some practical experience in accounts and payroll.

This position requires Garda Vetting.

Community Employment Administrative Assistant job description

DSP accounts support

Follow DSP specifications for all monies incoming and outgoing
Account for all incoming and outgoing monies on QuickBooks
Liaise with the auditor at the end of each scheme and report on all monies incoming and outgoing of DSP account
Apply to DSP for:

Material grants
Material claims
Training claims
Wages claims
Send reports to DSP
Process invoices related to the CE programme
Communicate with the DSP through letters, e-mail and by phone

CE staff support

Set up new bank account at the start of each CE scheme
Pay wages to all CE staff on a weekly basis.  Send out payslips to CE staff
Maintain CE staff working time records – time sheets, Excel work time records, leave and time in lieu requests and other relevant work.  Answer queries about the CE staff annual leave and time in lieu position
Communicate with the CE participants through letters, e-mail and by phone
Perform other duties as requested by the managers

Necessary skills

Basic IT skills – internet, e-mail, file management, printing, copying, scanning
Some accounts and payroll experience or training
Basic Word processing and typing
Basic Excel for maintaining Excel records
Confidentiality in dealing with employee records and other sensitive information.
