Training Centre Administrator – Ballymun Youth Action Project – Dublin 11

The successful candidate will have the following:
Capacity to ensure the efficient day to day administration of the Training Centre.
Capacity to administer applications and payments for courses and programmes.
Capacity to administer Quality and Qualifications Ireland (QQI) procedures for registering students, uploading results and recording QQI validation processes.
Capacity to engage with ongoing QQI processes, in collaboration with the Training Centre Coordinator.
Capacity to provide administrative support for the preparation and delivery of training through the Training Centre, whether on site or in other venues.
Capacity to manage the advertising and promotion of training provided through the Training Centre.
Capacity to produce periodic reports on the training being provided, including both participant and financial information.
Capacity to maintain the training interface on the BYAP website and other social media.
Capacity to provide front desk duties (phone calls, office supplies, etc) for the Training Centre, and maintain the Customer Service level required by the Training Centre.
Capacity to maintain effective communication with other stakeholders, whether students, community, statutory, or other services providers.
Capacity to work with the Training Centre team in implementing the evaluation of the range of education and training initiatives and programmes offered by the Project.
Capacity to avail of the relevant supervision and managerial support structures.
Capacity to maintain a high standard of professionalism at all times and to adhere to the policies and procedures of the Ballymun Youth Action Project.
The duties and responsibilities of the position are not definitive nor restrictive and can be modified to ensure the successful operation and development of the Training Centre.

Specific Requirements:
Minimum of 2 years’ experience of administration within a similar organisational setting
Have obtained a pass (Grade D) in at least five subjects in the Department of Education Leaving Certificate Examination, including Mathematics and English or Irish[1]. Candidates should have obtained at least Grade C on higher level papers in three subjects in that examination. Or
Have completed a relevant examination at a comparable standard in any equivalent examination in another jurisdiction. Or
Hold a comparable and relevant third level qualification of at least level 6 on the National Qualifications Framework maintained by Qualifications and Quality Ireland (QQI). AND
Candidates must possess the requisite knowledge and ability, including a high standard of suitability, for the proper discharge of the position.
Skills, Competencies and/or Knowledge:
Proficiency in the use of ICT, in particular Microsoft Office applications.
Ability to work on own initiative as well as part of a team.
Communication and interpersonal skills including the ability to present (verbal and written) information in a clear and concise manner.

Additional Desirable requirements:
Experience of/ proficiency in using Salesforce CRM or other data management system.
Experience of/ proficiency in using QQI’s QBS data system.
Understanding of community substance use issues.
Understanding of community-based education.
The salary is aligned with the HSE Clerical Grade IV (Commensurate with experience).

The position is based in Urrús, the Ballymun Youth Action Project.
